1. Who we are
Steller's Systems Inc. (“we”, “us”) is a technology services company located at 2-28A Hamilton St E, Goderich, ON. This policy explains how we collect, use and protect personal information, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
We collect only what we need to respond to you and deliver our services:
- Contact details you give us — name, email, phone, company and address.
- Request details — the information you enter in our quote and repair forms.
- Service information — device details, account information and notes needed to complete work you've asked for.
- Basic technical data — our hosting provider may log IP addresses and browser information for security and to prevent abuse.
3. How we use it
- To answer your enquiries and provide quotes.
- To schedule, perform and invoice the services you request.
- To keep records required for accounting and tax purposes.
- To protect our website and systems from fraud and abuse.
We do not sell, rent or trade your personal information, and we don't use it for third-party advertising.
4. Data on your devices and systems
When we work on your computers, accounts or networks we may have access to files and data stored on them. We access only what is necessary to complete the job, never copy or keep your data unless you ask us to (for example, a backup before a repair), and securely delete any temporary copies once the work is finished.
5. Service providers
We use a small number of trusted providers to run our business, such as website hosting (Cloudflare), email delivery (Resend), and email and accounting software. They process information only on our behalf and are required to protect it. Some providers may store data outside Canada, in which case it may be subject to the laws of that country.
6. Cookies
Our website does not use advertising or tracking cookies. Our hosting provider may set strictly necessary cookies for security.
7. Retention and security
We keep personal information only as long as needed for the purposes above or as required by law (for example, financial records for six years). We protect it with access controls, encryption and multi-factor authentication.
8. Your rights
You can ask to see, correct or delete the personal information we hold about you, or withdraw consent for its use, subject to legal requirements. Email m.sade@stellerssystems.com and we'll respond within 30 days. If you have concerns we can't resolve, you may contact the Office of the Privacy Commissioner of Canada.
9. Changes
We may update this policy from time to time. The date at the top shows when it was last changed.
